Identifier (ID) and its function in Lookup list

ID creates a primary key in the lookup lists, i.e. items in the lookup list are automatically ordered in numerical (alphabetical) order. The order of items is retained in the Field-Map Data Collector form as well.


IDs may be Numeric, Alphanumeric or GUID. For an explanation see Numeric lookup lists versus Alphanumeric lookup lists.


Instead of typing all the items manually, it is possible to import ready made lookup lists or import the items from another file.


The “Order by” function gives a possibility to order the lookup list items by the selected column (either ID, Value or Order). The Order column is designed for a custom order definition. Its fields can hold numerical values.

  1. Click the Add item to lookup list button.
  2. A new empty record has been added to the lookup list.



  1. Type the new “ID“ in the “ID” field and press the Tab key.
  2. Type the “description“ of the ID (i.e., the actual meaning of the lookup list item) in the “Value” field.
  3. Repeat steps 1 - 4 to fill the lookup list.
  4. By choosing from the options in the “Order by” combo box, you can change the order of the lookup list items.
  5. Click the Post edit button.
